Administrative Assistant- Part Time

Southwestern Ohio Council of Governments (SWOCOG)

The Southwestern Ohio Council of Governments was formed in 2009 and currently has six county boards of developmental disabilities in southwestern Ohio: Butler, Clermont, Greene, Hamilton, Montgomery, and Warren counties. Our goal is to support the efforts of county boards of developmental disabilities by implementing regional opportunities for collaboration and sharing of resources.

 

Position Description:

This position provides administrative support to SWOCOG administration and finance department. This is a part time position consisting of 26 hours. The schedule is M-W-TH 8:00a.m. to 2:00 p.m. and Tuesday from 8:00a.m. to 4:00 p.m.

Duties:

• Attends to visitors and deals with inquires on the phone and face to face.

• Serves as the liaison between the Executive Director and other agencies.

• In accordance with State and local laws, policies and procedures is responsible for the storage, retention and dissemination of all COG meeting agendas and minutes.

• Track and maintain policy review schedule.

• Update social media • Maintains record of organization’s inventory and communicates with county board personnel regarding inventory

• Works closely with SWOCOG Home Modification/Equipment, Finance, and Eligibility program staff to ensure compliance with requirements for audit and maintenance/retrieval of documents

• Performs finance related duties such as accounts payable, purchasing, obtaining records during audits, vendor management, etc., as assigned. • Scanning information and saving to an electronic file

• Printing and/or copying information for records

• Organizing mailings, preparing items for mailing at post office

• Data entry, maintenance of filing system, filing items in an effective system for retrieval

• Maintains tracking of programs, works with SWOCOG staff to monitor programs in an efficient and cost effective manner.

• Serves as the Assistant Local MAC Coordinator to provide oversight for the implementation of the MAC program and to ensure that policy decisions are implemented appropriately

• Participates in trainings, orientations, and other meetings

• Informs supervisor immediately of any issues related to fraud, abuse, misappropriation of funds, illegal behavior, HIPAA violations, or any other area of concern that presents risk to the company or those we serve.

• Performs other related duties as required or assigned.

Requirements & Preferences:

• Requires High School Diploma or GED; Associate Degree Preferred

• Minimum of 2 years of experience in an administrative support position in an office environment

• Competence in typing, scanning, Microsoft Office, and simple spreadsheets

• Ability to prepare meaningful, concise and accurate reports • Effective communication and public relation skills

• Satisfactory results of a chemical dependency test • Satisfactory results of Criminal Background Check including BCI/FBI

• Proof of a current and valid driver's license for state of residence; must be maintained throughout employment

• Must maintain status of insurability for motor vehicle insurance in accordance with SWOCOG policy • Completion of all other required documentation as requested

• Ability to interact verbally with individuals, their families, and community officials to coordinate program services • Performs role in an ethical and courteous manner at all times

• Work in a team environment
